If you are thinking about setting up and running a Database (Registry) for ACC, STS or State:

Concern about the setting up of an extensive database for the ACC, STS or other entity is very valid.  Setting up and running a database for the ACC, STS, State or Hospital can be a daunting task.  A lot more work is involved than you would expect looking at the literature.   The Medical Dynamics "Pre-Registry" database and software will let you set up an environment identical to what you will need for the ACC, STS or other databases.  The Pre-Registry database lets you setup your procedures and get things working before having to "go live".  You can fine tune your Hemodynamic monitors or data collection flow without the worry of failing an export to the registry.  You are free to refine the process and make sure your data collection will meet the requirements of the National Registries before beginning participation.   Most of the data you will need to collect for the registries is included in the Pre-Registry database.   However, since the Pre-Registry database is not the fully certified version (Medical Dynamics Certified ACC, STS and State Registries are fully compatible with the Pre-Registry database), it cost much less to setup and operate.

Is the Pre-Registry database identical to the National Registry databases you offer?

The Pre-Registry database is almost identical.  The ACC and STS have many features and data elements that are  copyrighted by these registries.  These include the list of devices used in a procedure in the format furnished by the registries and also literature used to define the submission process and how the data is to be submitted to the registries.  The individual data elements are not subject to copyrights if they have been used previously in other copyrighted software (prior publication).  Medical Dynamics has been creating databases for Cardiology since 1986 and has well over 300 copyrights on data collection elements from that time including most data elements in the National Registries.  However, we feel these data elements rightfully belong in the public domain.  It is arcane to consider Patient Name, Data of Birth, Procedure Type, Prior CHF, Male/Female, Admit Date, history/risk factor information and so much more as other than in the public domain with so many prior publications (both software and written) covering this information.   Medical Dynamics does strongly support the registries in their ownership of the certification documentation, methods of data submission and validation requirements, certain elements of data collection and their literature.  The intent of the Pre-Registry software is to help you prepare for a seamless move into a fully certified version of the Registries you choose to participate in.

The Pre-Registry software will not have elements or literature owned by the registries until you convert it to the fully certified versions at some point in the future.  However, once you refine your data collection process and get the "bugs" worked out of the system you can then move to the fully certified Medical Dynamics versions of the ACC, STS and other registries.  We have "conversion engines" that will convert all of your data collected in the Pre-Registry database into the certified databases once you go live with the registry.  Some data will need to be added if you have not collected this in custom fields (custom fields are user defined fields that you can collect data not included in the standard Pre-Registry database).

What are the major benefits of the Pre-Registry software:

     1.  It provides you with the time to setup a smooth and seamless data collection workflow without the deadlines of registry submission.

     2.  You can work through, if you choose, collecting most of the data from the hemodynamic monitors and directly from the Hospital Information Systems department (via HL7 Interface).

     3.  Data entered into the Pre-Registry database can be interfaced seamlessly into the fully certified versions of the registries at any time you choose.

     4.  The initial cost is much less.

     5.  Going live with the National Registries with a refined and working data collection process just makes your operation look better.

     6.  You will be working with one of the most experienced registry providers.  Medical Dynamics interfaces to all hemodynamic monitors, Information Systems and other systems in a highly professional way.  We are also rated at the top in customer satisfaction surveys (this is no small feat in clinical databases).

Can I get to my data for custom reports:

Every single field in the Pre-Registry data elements can be reported on, compared against or analyzed using

reporting tools contained in the Pre-Registry application.  We also have a large number of furnished reports and are constantly preparing additional reports based on user request.  All information can also be analyzed using  Microsoft Access or Crystal Reports.  Some of our larger Hospital groups bring together Pre-Registry data elements from several of their member Hospitals and analyze outcomes within the group.  The Medical Dynamics Pre-Registry Database provides unlimited flexibility in outcomes reporting.

Other Benefits using the Medical Dynamics Pre-Registry Database:

  • Medical Dynamics keeps you current through an ongoing update program.
  • Medical Dynamics is COST effective.
  • Your Pre-Registry system can be a simple standalone or a multi-user multi-hospital system.
  • Your data can be sent to other interested parties (Information Systems, etc.)
  • Medical Dynamics Proprietary Data Distributor is fully compatible.
  • HL7 Hospital Information Systems compatible
  • Over 250 User Defined fields add a custom touch to your Pre-Registry database
  • Unlimited reporting system.
  • Uses Microsoft standard products (SQL, Access, Word, Excel, etc.)
  • Can work with Oracle and Microsoft SQL data warehouses.
  • Encrypted databases available.
  • Email support from within programs.
  • Medical Dynamics staffs a super support team
  • Quality improvement results are documented
  • Demonstrates quality of care to Third Parties
  • Immediate and accurate response to request for outcome data
  • Potential areas for improvement are identified
  • Practice patterns are documented
  • Cross-match and rationalize cost containment data with clinical outcome data

Effortless Data Entry:

Medical Dynamics data input has long been recognized as the leader in easy of use and intuitive operation.  Each field is easy to understand and provides a clear presentation of what is required.

Menu Selections for frequently used items:

Data entry for frequently used selections is made easy by pull down menus.  Each of these can be edited at anytime adding a great deal of flexibility and control.

  • Referring Cardiologist
  • Referring Physician
  • Payer
  • Hospital
  • Operative Surgeon

Extended or “Custom” Fields:

For local outcomes, the Medical Dynamics Pre-Registry Database provides up to 255 user defined custom fields.  Each patient encounter can have a complete set of custom data points collected.  These can then be reported along with the standard data elements.

Interfacing:

Medical Dynamics has long been a leader in interfacing to clinical instruments and Hospital systems.  A most requested interface is to the Hospital HL7 ADT (used for Admission date, demographics, discharge date, social security number and other information).  Medical Dynamics also has standard interfaces to instruments used to collect most data elements.  Some of the standard interfaces are with GE, Witt Biomedical, Mennen Instruments, Camtronics, Quinton Instruments, Midas and Siemens as well as many others.  The Medical Dynamics interfaces are unique in that they account for multiple patient procedures during the same hospital stay.  This is crucial in preventing duplicate admission counts on outcomes reports.

Data Migration Tools:

Tools currently exist for moving legacy data from other older database in your department into the Pre-Registry database and interpreting the proper format for the data.

Training:

Training can be arranged either on-site or at our training facility in Charleston, South Carolina.  The Charleston training is held regularly and covers basic data management as well as extensive custom reporting and query making.  This historic and very popular port city has proven to be an excellent environment for acquiring basic and advanced data management skills.

Implementation:

Software performs best when properly implemented.  The Pre-Registry database helps you set up your software in an economical and less stressful environment.  Medical Dynamics offers on-site specialist to assist in setting up and maintaining a successful data collection and data entry program.  This service is available at anytime from the first install to 10 years later.

Support:

For over 19 years Medical Dynamics has been known for their quality support.  Standard support hours are 8:00 am to 6:00 pm Eastern time.  Support 24 hours a day and 7 days a week including holidays is available if needed.  Every site is provided with program enhancements that enable remote dial in assistance and upgrade services.  This remote dial-in access sets up a “one on one” support environment for your users.  Often, basic training can be furnished or enhanced by the dial-in facility.  On-site support is as needed.
